Terms & Conditions – Tanian Ethiopia Tours (Last Updated: 2020)

By booking or participating in a tour (a “Tour”) with Tanian Ethiopia Tours (“we,” “us,” or “our”), you (“you”) agree to these Terms & Conditions. If booking for others, you confirm you have authority to accept these terms on their behalf.

1. Booking Confirmation

Your journey begins with a confirmed booking. Here’s how it works:

  • Your booking is finalized once we issue a written confirmation after receiving your non-refundable deposit.
  • Accuracy is key: Ensure names on the booking match passports exactly. Notify us immediately of errors to avoid delays or fees.
  • You must be 18+ years old to make a booking. Provide complete and truthful information during the process.

2. Booking on Behalf of Others

Sharing the adventure? Here’s what you need to know:

  • As the designated contact, you’re responsible for managing payments, communicating changes, and keeping your group informed.
  • You confirm you have permission to share others’ personal details and that all information provided (e.g., names, contact details) is accurate.

3. Health, Safety & Medical Requirements

Your well-being is our priority. Please read carefully:

  • Medical Disclosure: For tours to remote areas (e.g., the Wider Horn of Africa), you must complete our Medical Form with a licensed physician’s approval. Submit this before final payment.
  • Participation Restrictions: We may deny travel if your health condition poses risks to yourself, others, or the Tour’s operation. This includes undisclosed pregnancies beyond 24 weeks.
  • Your Responsibility: Consult your doctor to assess fitness for travel, required vaccinations, and risks related to high-altitude treks, cultural activities, or rugged terrain. Note that medical facilities in remote regions may be basic.

4. Special Requests & Accessibility

We strive to accommodate needs but cannot guarantee all requests:

  • Notify us of dietary restrictions, mobility limitations, or other needs at the time of booking.
  • While we’ll make reasonable efforts (e.g., dietary adjustments, accessible lodging), some itineraries may not suit all physical abilities.
  • No liability: Unmet requests (e.g., gluten-free meals in remote villages) do not entitle you to refunds or compensation.

5. Minors on Tour

Traveling with young explorers? Keep this in mind:

  • Age Rules: Minors (under 18) must be accompanied by an adult (1 adult per 2 minors).
  • Documentation: Ensure minors have valid passports, visas, and parental consent forms if required by local laws.
  • Supervision: Adults are fully responsible for minors’ safety, behavior, and compliance with Tour rules.

6. Mandatory Travel Insurance

Protect your investment and health:

  • Required Coverage: Purchase insurance covering medical emergencies, evacuation, and repatriation for all travel dates.
  • Recommended Add-Ons: Include cancellation, lost luggage, and trip interruption coverage for full protection.
  • Verify Coverage: Confirm your policy includes adventure activities (e.g., trekking, cultural excursions) and destinations on your itinerary.

7. Pricing, Payments & Surcharges

Transparent costs and payment timelines:

  • A non-refundable deposit of 10% of the total tour cost is required to confirm your booking.
  • The remaining balance is due 15 days prior to your tour start date.
  • Price Changes: Rare but possible due to fuel hikes, taxes, or currency fluctuations. We’ll notify you if costs rise by over 5%and offer refund options for increases above 7%.

8. Cancellations & Refunds

Understanding cancellation policies:

We understand that unforeseen circumstances can arise, and therefore we have a flexible cancellation policy to accommodate our guests’ needs. Please note that all cancellations must be made in writing and sent to our email tanianethiopiatours@gmail.com or Send us a message on WhatsApp.

Cancellation Fees:

  • 60+ days or more prior to departure: A 0% cancellation fee will be applied.
  • 60 to 40 days prior to departure: A 50% cancellation fee will be applied.
  • 30 days or less prior to departure: A 20% cancellation fee will be applied.
  • Less than 15 days prior to departure: No refunds will be issued.
  • No-shows or cancellations after the tour start date: No refunds will be issued.

Important Notes:

  • Cancellation fees are calculated based on the date the written cancellation notice is received.
  • In the event of unforeseen circumstances, such as natural disasters or political instability, Tanian Ethiopia Tours reserves the right to cancel or modify tour itineraries. In such cases, we will make every effort to provide alternative arrangements or full refunds.
  • We strongly recommend purchasing comprehensive travel insurance to cover unforeseen circumstances, including trip cancellations, medical emergencies, and lost luggage.
  • Cancellations by Us: If we cancel (except for uncontrollable events like natural disasters), choose a replacement Tour or full refund.

9. Travel Documents & Visas

Prepare thoroughly for smooth travels:

  • Ensure your passport is valid for 6 months after your return date.
  • Research and obtain visas, vaccinations, and permits for Ethiopia and transit countries.
  • We’re not liable for delays, denials, or costs due to missing/invalid documents.

10. Itinerary Changes & Flexibility

Adapting to the unexpected:

  • Changes by Us: Itineraries may adjust due to weather, safety, or logistics (e.g., road closures, political unrest). Major changes (“Material Changes”) allow you to accept, switch Tours, or cancel for a refund.
  • No Refunds: Missed activities due to delays or personal choices (e.g., opting out of a hike) are not reimbursed.

11. Your Responsibilities

A collaborative effort for a safe journey:

  • Respect Local Laws: Follow Ethiopian customs (e.g., dress codes at religious sites). Avoid illegal activities (e.g., drone use without permits).
  • Behavior Standards: Disruptive, dangerous, or disrespectful behavior may result in removal from the Tour without refund.
  • Property Care: Report pre-existing damage to accommodations/vehicles immediately. Cover costs for damages you cause.

12. Liability & Risk Assumption

Clarity on our responsibilities:

  • Third-Party Services: We partner with trusted hotels, guides, and transport providers but are not liablefor their actions.
  • Assumption of Risk: Travel in Ethiopia involves inherent risks (e.g., uneven terrain, wildlife). By booking, you acknowledge these risks and waive claims for injuries/incidents beyond our control.
  • Force Majeure: We’re not liable for disruptions caused by natural disasters, wars, pandemics, or government actions.

13. Photos & Promotional Use

Capturing memories, sharing stories:

  • We may use photos/videos from your Tour in marketing materials. Inform your guide if you prefer not to be featured.

14. Privacy & Data Security

Your information is safe with us:

  • We collect only necessary details (e.g., medical info, contact data) to deliver your Tour. See our Privacy Policyfor full details.

15. Governing Law & Disputes

Legal clarity for a worry-free journey:

  • Ethiopian Law Applies: Any dispute, claim, or legal matter arising from your Tour, booking, or these Terms & Conditions will be governed exclusively by the laws of the Federal Democratic Republic of Ethiopia, regardless of your nationality or location.
  • Jurisdiction: Disputes must be resolved in the courts of Addis Ababa, Ethiopia. By booking with Tanian Ethiopia Tours, you agree to submit to the exclusive jurisdiction of these courts.
  • No Alternative Venues: You waive the right to pursue disputes in any other courts or jurisdictions, including those in your home country.
